5 Benefits of Cognizant® SIP and Florence eBinders Integration

Although technology can simplify and automate many of the tasks associated with clinical operations, individuals are frequently forced to perform repetitive work across various platforms.

For sites using the Florence eBinders platform conducting studies with sponsors using the Cognizant Shared Investigator Platform, this repetitive work was apparent as site staff were forced to manually copy and exchange documents and information between systems.

These non-connected workflows hindered daily operations and left staff at the site with less time to spend with patients.

To solve this, we partnered with Cognizant to develop a native integration between Florence eBinders and the Cognizant Shared Investigator Platform (SIP). Sponsors using SIP can now directly integrate with sites using Florence eBinders via the Cognizant SIP eISF Connect Module powered by Florence.

This native integration streamlines the exchange of documents and information between study sites using Florence eBinders and sponsors using Cognizant SIP with the eISF Connect Module activated.

1. Sites Send Documents to Cognizant SIP with One Click

Direct integration between the appropriate Florence eBinders destination and the appropriate Cognizant SIP destination enables single click “Send to SIP” document routing for the study site.

No more downloading the file to your hard drive (compliance risk), making sure you have the latest version (compliance risk), and uploading to the correct location in SIP.

2. Sites Maintain Quality Control and Versioning

ICH GCP mandates the Principal Investigator, and thus the site coordinating staff, maintains control and ensures the quality of their documents and data for the life of the study.

Quality control workflows and automation between Cognizant SIP and Florence eBinders enable review and approval processes before documents leave the site, and when new documents arrive from the sponsor.

Dedicated intake and holding areas allow site staff, and sponsor monitors, to quality control documents being exchanged between platforms. This integration also ensures the site and the sponsor always have the latest version of study documents and real-time visibility into document status with custom reports and synced audit trails.

This infusion of site-controlled processes into the site sponsor collaboration loop drives quality for both parties.

3. Sites Control Sponsor Access

Again, per ICH GCP the site is responsible for controlling who can see what in their system, maintaining PII, and restricting access across assigned roles.

This integration gives the site team control of when and how a sponsor monitor can remotely access the system, what files they can see, what parts of files they can see (for redacted content), and what they can do with those files.

Sites can also grant permission to the sponsor monitor to manage the exchange of approved documents directly with SIP, eliminating additional steps in the process.

4. Sites Gain Visibility into Sponsor Activity

Research sites benefit from real-time visibility into sponsor actions since workflows and site tasks are consolidated into eBinders.

Systems (eBinders and SIP) sync audit trails automatically, so sites are able to view document status and the history of document exchange and comments in both the eISF and SIP audit trails.

This level of visibility into sponsor activity streamlines the management of document lifecycle between two previously disparate systems and lets site staff know where sponsor monitors are concentrating their time, what issues they may have, and what additional resources they may need to provide.

5. Sites Build a Future Proof Technology Foundation

Research sites that employ controlled and managed eISF spaces like Florence eBinders create a new standard for excellence in the way research gets done.

As a site-first organization, Florence constantly hosts user groups, focus groups, and feedback panels on all of our capabilities to find where we can improve.

Florence eBinders customers using this native SIP integration are invited to participate in regular user groups to further advance our connectivity, discover new workflows, and simplify operations so they can spend more time on research and less time on paperwork.

Integration between eClinical solutions is critical for the long-term success of clinical research. Florence is committed to creating a unified ecosystem through native integrations like this, along with an open API platform so organizations can integrate with any platform they use.
